Privacy Policy

HomeGround Australia Pty Ltd (ABN 18 698 896 785) (HomeGround, we, us, our) operates the HomeGround platform — including the HomeGround mobile app, white-labelled tenant apps published under separate names, the HomeGround Admin web portal, and this website. This policy explains what personal information we handle, why, and how we protect it. We comply with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. What we collect

The exact information we hold depends on how you use the platform. It may include:

  • Identity & contact: full name, email address, phone number, date of birth, profile photograph.
  • Account credentials: a securely hashed password (we never store passwords in plain text).
  • Sport profile: your role (e.g. batsman, bowler), experience level, suburb or region, and similar attributes you choose to provide.
  • Sessions & coaching records: session bookings, attendance, notes coaches add about your training, and progress information.
  • Payments: billing metadata generated when you connect a direct-debit mandate or make a payment. Bank account numbers and card details are handled by our regulated payment processors (GoCardless and Stripe) and are never stored on HomeGround servers.
  • Device & technical: push notification tokens (so we can deliver session reminders), device type, operating system, app version, and crash diagnostics.
  • Family linking: if you are a parent or guardian, the name and email address of any children you link to your account.
  • Communications: records of emails, in-app notifications, and support correspondence.

We do not collect government identifiers (e.g. Medicare numbers, driver licence numbers) and we do not engage in profiling or automated decision-making.

2. Why we collect it

We collect and use personal information for the following purposes:

  • To create and manage your account and verify your identity.
  • To deliver the core features of the platform: scheduling sessions, recording coaching notes, processing payments, and sending booking reminders.
  • To enable communication between players, coaches, and parents within a workspace.
  • To send service notifications (e.g. invitation emails, mandate confirmations, password resets).
  • To meet our legal, taxation, and accounting obligations.
  • To improve the platform, including diagnosing technical issues and analysing aggregated usage patterns.
  • To prevent fraud, abuse, and security incidents.

3. How we share it

HomeGround is a multi-tenant platform. Each tenant — typically a coaching academy, club, or association — operates its own workspace. Within a workspace, players, coaches, owners, and administrators see the information their role allows them to see (for example, a coach can see the players in their workspace; players cannot see other players' notes).

We disclose personal information to the following categories of third parties, only as necessary to operate the platform:

  • Supabase Inc. — our database and authentication provider. Data is stored in Supabase's Sydney (ap-southeast-2) region.
  • Resend — for transactional email delivery (invitations, password resets, mandate confirmations).
  • GoCardless and Stripe — for direct debit and card payment processing. Each tenant connects their own payment account; HomeGround does not hold their funds.
  • Expo (Exponent Inc.) — for push notification delivery.
  • Apple and Google — for app distribution and crash diagnostics (App Store / Play Store).
  • Vercel — for hosting this website and the admin portal.
  • Law enforcement, regulators, or our professional advisers — only where we are legally compelled, or to defend our legal rights.

We do not sell personal information. We do not share personal information with advertisers for the purposes of behavioural advertising.

4. Where it is stored

Personal information is primarily stored on servers in Australia (Supabase ap-southeast-2 — Sydney). Some third parties listed above (e.g. Resend, Stripe, GoCardless, Expo, Apple, Google, Vercel) operate from servers outside Australia, including in the United States, United Kingdom, and European Union. Where information is transferred overseas, we take reasonable steps to ensure the recipient handles it in a way consistent with the Australian Privacy Principles.

5. Security

We protect personal information with industry-standard safeguards including TLS encryption in transit, encryption at rest, hashed passwords, role-based access controls, row-level security within our database, and audit logging. No internet-connected service is ever fully secure; we will notify you in accordance with our obligations under the Notifiable Data Breaches scheme if a breach is likely to result in serious harm.

6. Retention

We retain personal information for as long as your account is active, and for a reasonable period afterwards to satisfy legal, accounting, and operational requirements. When the information is no longer needed, we delete it or de-identify it. Payment and transactional records are retained for at least seven (7) years in line with Australian Taxation Office record-keeping requirements.

7. Children's information

HomeGround is used by youth sport organisations and may hold personal information about children. Where a child is under 13 years of age, an account must be set up and managed by a parent or guardian using a parent-linked account. We rely on parents and guardians to consent to that child's participation. If you believe a child has provided personal information to HomeGround without parental consent, contact us and we will delete it.

8. Your rights

Under the Australian Privacy Principles you have the right to:

  • Access the personal information we hold about you.
  • Ask us to correct information that is inaccurate, out-of-date, or incomplete.
  • Request deletion of your account and the personal information associated with it, subject to legal retention requirements.
  • Withdraw consent to receive non-essential communications at any time.
  • Complain to us about how we have handled your personal information.

You can exercise most of these rights by signing in to the HomeGround app and editing your profile or by emailing us at the address below. We will respond within 30 days.

9. Cookies and analytics

This website uses essential cookies required for it to function. The HomeGround mobile app does not use third-party advertising trackers. We may use aggregated, de-identified analytics to understand how the platform is used so we can improve it.

10. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “last updated” date at the top and, for material changes, notify you in-app or by email.
